1. Agreement to Terms

By accessing or using the Ekasi Courses website (the "Platform"), you agree to be bound by these Terms of Service ("Terms"). If you disagree with any part of these Terms, you may not access or use the Platform. These Terms apply to all visitors, users, and others who access the Platform ("Users").

Important: By using Ekasi Courses, you acknowledge that you have read, understood, and agree to comply with these Terms.

2. Eligibility

To use the Platform, you must:

  • Be at least 13 years of age (or the age of digital consent in your country)
  • Have the legal capacity to enter into binding contracts
  • Not be prohibited from using the Platform under applicable laws
  • Provide accurate, complete, and current registration information
  • Maintain the security of your account credentials

3. User Accounts

3.1 Account Registration

To access certain features of the Platform, you must register for an account. You agree to provide accurate, current, and complete information during registration and to update such information to keep it accurate, current, and complete.

3.2 Account Security

You are responsible for safeguarding your password and for all activities that occur under your account. You agree to notify us immediately of any unauthorized use of your account or any other breach of security. Ekasi Courses will not be liable for any loss or damage arising from your failure to comply with this security obligation.

3.3 Account Types

  • Student Account: For learners enrolled in courses
  • Instructor Account: For content creators and course publishers
  • Corporate Account: For business and organizational training

4. Course Access & Enrollment

4.1 Free Access

All course enrollment and study materials on Ekasi Courses are provided completely free of charge. You may access course content, download materials, and study at your own pace without any payment obligation.

4.2 Enrollment Process

To enroll in a course, you must:

  • Create a user account on the Platform
  • Select the course(s) you wish to enroll in
  • Complete any required registration information
  • Agree to these Terms of Service

4.3 Course Completion

Courses are self-paced. You may take as long as you need to complete the course materials. However, course content may be updated periodically, and you are responsible for reviewing any updates to ensure your knowledge remains current.

5. Payments & Fees

5.1 Free Services

Course enrollment, study guides, video lessons, and downloadable resources are provided at no cost. You are never required to pay to access or study course materials.

5.2 Paid Services

The following services require payment:

  • Certification Exams: Fees vary based on course difficulty level (Beginner, Intermediate, Advanced)
  • Digital Certificates: Optional fee for official certified documents
  • Recommendation Letters: For internship and attachment purposes
  • Package Deals: Bundled services at discounted rates
  • Membership Plans: Annual subscription for premium benefits

5.3 Payment Processing

All payments are processed securely through our payment partners. We accept PayPal, credit/debit cards, and mobile money where available. Payment is required at the time of service purchase.

5.4 Refund Policy

Refund Policy:
  • Exam fees: Non-refundable once the exam has been started
  • Certificate fees: Fully refundable within 7 days if not downloaded
  • Recommendation letter fees: Fully refundable within 7 days if not downloaded
  • Package deals: Refundable on a pro-rata basis for unused services
  • Membership fees: Non-refundable after 14 days of purchase

6. Certification & Exams

6.1 Exam Attempts

Each exam purchase includes 3 attempts to pass the certification exam. Additional attempts may be purchased separately.

6.2 Proctoring

All certification exams are remotely proctored using AI technology. You must have a working webcam and microphone. The proctoring software will monitor your activity during the exam to ensure academic integrity.

6.3 Passing Score

The passing score for each exam is clearly displayed before you begin. If you do not achieve the passing score, you may use one of your remaining attempts. If all attempts are exhausted, you must purchase additional attempts.

6.4 Certificate Issuance

Upon passing the exam, you will receive a digital certificate. This certificate is proof of your knowledge and skills but does not guarantee employment. Certificates are issued in your registered name and cannot be transferred or altered.

7. Certificate Renewals

EKasi Courses certificates are valid for a specific period and must be renewed to maintain active certification status. This section outlines the renewal policy and procedures.

7.1 Certificate Validity Period

All certificates issued by EKasi Courses have a validity period of twelve (12) months from the date of completion. After this period, the certificate is considered expired.

7.2 Grace Period

EKasi Courses provides a sixty (60) day grace period after the certificate expiry date. During this grace period:

  • The certificate may still be renewed without penalty
  • The certification status displays as "Expired - Grace Period" on verification
  • After 60 days, the certificate cannot be renewed and the holder must retake the full course and exam
Grace Period Warning: It is the certificate holder's responsibility to renew before the grace period ends. No extensions will be granted.

7.3 Three Renewal Methods

Certificate holders may renew their certificates using any of the following three methods:

Method 1: Pay Membership

When you pay your annual membership fee, ALL your active certificates are automatically renewed for 12 months from the payment date.

  • One payment renews every certificate you hold
  • Automatic renewal upon membership payment confirmation
  • +12 months added to all active certificates
  • Most cost-effective for holders with multiple certificates
  • Membership plans available: Individual ($149), Professional ($299), Corporate ($1,999)

Method 2: Pass an Exam

Retake and pass the course exam to renew that specific certificate for another 12 months.

  • Renews only that specific certificate
  • Works even without an active membership
  • +12 months added from the exam pass date
  • Great opportunity to refresh your knowledge
  • Standard exam fee applies (if not covered by membership)

Method 3: Publish a Book

Publish approved content in the EKasi Library to renew certificates related to your publication.

  • Renews certificate related to your publication topic
  • Maximum of 2 publication-based renewals per calendar year
  • Content must be peer-reviewed and approved by EKasi staff
  • No cost for this renewal method
  • Perfect for active contributors and subject matter experts

7.4 Renewal Fees

7.5 Renewal Notification Schedule

EKasi Courses will send automated email notifications to certificate holders at the following intervals before expiry:

  • 90 days before expiry: "Certificate expiring soon" notice with renewal options
  • 60 days before expiry: "Renew your certificate" reminder
  • 30 days before expiry: "Urgent: Certificate expiring" notice
  • 7 days before expiry: "Final reminder" notice
  • Day of expiry: "Certificate expired - Grace period" notice
  • 30 days after expiry: "Final grace period reminder"
  • 60 days after expiry: "Certificate permanently expired" notice

Note: It is your responsibility to ensure your email address is current and that notification emails are not filtered as spam. EKasi Courses is not liable for missed notifications due to incorrect email settings or addresses.

7.6 Consequences of Non-Renewal

If a certificate is not renewed within the grace period, the following consequences apply:

  • The certificate status becomes "Expired" on the public verification system
  • The holder cannot claim active certification status to employers or third parties
  • The certificate will not appear as active in any verification checks
  • After the 60-day grace period, the certificate cannot be recovered or renewed
  • The holder must retake the full course and exam to earn a new certificate

7.7 Renewal and Certificate Dating

When a certificate is renewed:

  • The original issue date remains unchanged
  • A new expiry date is set to 12 months from the renewal date
  • A "Renewed On" timestamp is added to the certificate record
  • The certificate ID remains the same for continuity
  • Verification page shows both original issue date and latest renewal date

7.8 Membership Auto-Renewal

If you have an active membership:

  • All your certificates are automatically renewed when your membership payment is processed
  • No additional action is required from you
  • You will receive confirmation of certificate renewal via email
  • This applies to all certificates earned both before and during the membership period
Important Note: Membership auto-renewal applies only while your membership remains active. If your membership expires, certificates will not be automatically renewed and you must use one of the other renewal methods.

8. Code of Conduct

You agree not to engage in any of the following prohibited activities:

  • Sharing your account credentials with others
  • Copying, distributing, or sharing course content without authorization
  • Cheating on exams or attempting to bypass proctoring measures
  • Harassing, threatening, or abusing other users or staff
  • Posting inappropriate, offensive, or illegal content on the Platform
  • Attempting to hack, disrupt, or gain unauthorized access to the Platform
  • Using automated scripts or bots to access the Platform
  • Misrepresenting your certification or credentials
  • Claiming an expired certificate as active
Violation Warning: Violation of this Code of Conduct may result in immediate account termination and forfeiture of any purchased services without refund.

9. Intellectual Property

9.1 Our Content

All content on the Platform, including but not limited to course materials, videos, text, graphics, logos, and software, is the property of Ekasi Courses or its content suppliers and is protected by copyright, trademark, and other intellectual property laws.

9.2 Limited License

We grant you a limited, non-exclusive, non-transferable license to access and use the Platform and its content for personal, non-commercial purposes. You may not reproduce, distribute, modify, or create derivative works of our content without explicit permission.

9.3 User Content

By submitting content (such as forum posts, reviews, or assignments) to the Platform, you grant Ekasi Courses a worldwide, royalty-free license to use, reproduce, and display such content in connection with the Platform.

10. Privacy

Your privacy is important to us. Our Privacy Policy explains how we collect, use, and protect your personal information. By using the Platform, you consent to the collection and use of your information as described in the Privacy Policy.

11. Termination

11.1 Termination by You

You may terminate your account at any time by contacting our support team or deleting your account through your dashboard.

11.2 Termination by Us

We reserve the right to suspend or terminate your account immediately, without prior notice or liability, for any reason, including but not limited to breach of these Terms.

11.3 Effect of Termination

Upon termination, your right to use the Platform will cease immediately. You will lose access to all course materials and your progress. No refunds will be provided for any unused services. All certificates will become inactive.

12. Disclaimers

Disclaimer:

The Platform and its content are provided "as is" without warranties of any kind, either express or implied. We do not warrant that the Platform will be uninterrupted, error-free, or free of viruses. Ekasi Courses does not guarantee employment or specific outcomes as a result of completing any course or certification. Certificate renewal does not guarantee continued employment or career advancement.

13. Limitation of Liability

To the maximum extent permitted by law, Ekasi Courses shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising out of or related to your use of the Platform, including but not limited to damages resulting from certificate expiry or failure to renew. Our total liability shall not exceed the amount you have paid to us in the past 12 months.

14. Changes to Terms

We reserve the right to modify these Terms at any time, including the certificate renewal policy. We will notify users of material changes by posting the new Terms on this page and updating the "Last Updated" date. Your continued use of the Platform after any such changes constitutes your acceptance of the new Terms.
